One or more quotes are prepared for the customer. If there are multiple
price and benefit options multiple quotes are prepared. During the quote
process a quote report can be printed showing potential margin for the quote.
The salesperson can modify all lines on a quote increasing or decreasing
prices by execution of a simple global command in PROMPT Sales Order
Processing. Also, gross margin amount and percentage can be viewed on
the user's workstation without printing anything.
This approach enables the salesperson to get a quote to the desired
competitive offering price. If a second quote is desired with varying
options PROMPT allows the first quote to be copied to a second quote,
for the same or a different customer, and then modify the second or
subsequent quote as desired.
Once the quote is delivered to the customer it is available to sales
management for reporting to review open quotes by salesperson until
ultimately closed or purged.
Upon the close of a sale the quote can be turned into an order as is or
with some modifications. Deposit payments can be applied to accounts
receivable on a quote. Next the quote is turned into an order with one
simple global command and stock is immediately allocated thereby determining
what you have in stock and what you need to order.
The PROMPT Purchase Order System allows the sales order to be automatically
turned into a purchase order with separate purchase orders generated for
each vendor involved for stock not on hand.
These purchase order lines cross reference to the sales order lines. Therefore,
when the stock comes in it is easily tied to the sales order for staging the
equipment for setup and delivery to the customer.
When the order is invoiced deposit payments are automatically reduced from the
invoice balance due.
The entire process is neat and tidy from start to finish and an electronic
record is available for view in the future or to use as a template for a
similar opportunity with a different customer. It is all accomplished with
PROMPT Business System out of the box software - meaning no special
modification required!
